It takes time and effort to completely get to know the ins and outs of a typical CRM system. WORKetc, with its broad feature set and multiple integrated business management modules, can be an even tougher beast to tame for some.

One thing we’ve mentioned time and again is that QuickStart isn’t just for new users. Even those who have been using WORKetc for months or even years can still learn a few things through the program.
This is exactly what happened with one of our recent QuickStart clients, Sean,* who works for a software development company in the United States.
Tweaking a Few Areas
Sean and his company had actually been using WORKetc for almost three years before they signed up for QuickStart, so they already had quite a bit of knowledge about the system. There were certain areas, however, where they weren’t making the most efficient use of the tools to which they had access.
“Sean’s company started using WORKetc even before my time, actually,” explains WORKetc product specialist and QuickStart mastermind, Laurie Marsicano.
“They didn’t feel that they were using the system as efficiently as they could have been, however, and they wanted to start using it better. So we decided to walk through their whole business together, go through each area, and figure out what the best setup was for each.”
As a software development company, one of the modules that proved extremely valuable to Sean and his team was WORKetc’s project management module. They had already been using it, but had yet to take full advantage of the module’s features.
“A lot of things, they were already doing correctly,” said Laurie. “There were just a few areas that we had to tweak. Milestone billing, for example, really helped them because it let them bill at different points of the project, which is exactly what they do.
“So we set milestone billing up for everything, and then set it as the default billing mode for all of their projects from then on.”
Maximizing Efficiency
Laurie also helped Sean set up new project types to reflect the exact kind of work they do for their many clients. She helped created new custom fields so Sean’s team could input additional information and gave them an overview of the new desktop timer.
“They needed more help with logging timesheets as they wanted to use that better,” Laurie said. “They weren’t using it before and they had the desktop timer, so it was interesting for them to start using it; each of their team members have now started using the desktop timer, including their consultants.”
During the duration of the QuickStart program, Laurie also helped Sean create a number of smartlists that enabled them to keep track of everything they were doing for their clients. One such smartlist let them track all of the company’s current implementation projects.
Third-party app integrations were also covered. Sean and company were already using Xero to handle their accounting, but they didn’t have it connected to WORKetc yet. Laurie walked them through the Xero integration setup as well as the one for Outlook, which was another crucial part of Sean’s company’s process.
Little Things, Big Results
Interestingly enough, though, it wasn’t the big module changes and tutorials that really won Sean over. As Laurie recalls, what really came across as a game-changer for the company was a tiny feature in WORKetc’s contacts settings.
“There’s a setting in WORKetc that lets you see only people with the ‘Customer’ tag in the contact picker dropdown menu,” Laurie explains. “It’s a tiny setting but it was a huge thing for them, because they didn’t want to see all these other contacts that they might have.”
“It was a game-changer for them. They were so excited about it, because they thought they were going to have to do so much cleanup work to see who they wanted to see in their contact picker.”

It’s all interesting. We’ve never used QuickStart, but we probably should. I think we’ve had WORK[etc] for 5 years or so and I’m sure that we’re doing things in less than efficient ways. Is there someone we should contact if we want to get it started? I’ll pass the info on to my boss.
We also decided not to use Quickstart in the training sense, but did for importing and general questions. The only reason we didn’t opt for it was because we are using the system in a more unusual way.
It was great to have the support team on hand, they were very attentive and helped us so much with the rollout. One of the best tips they provided was to split each department into a ‘Role’ in Permissions, it’s so much easier that doing it individually.
I would definitely recommend making use of the Quickstart, it helps so much with importing your initial data and for general support and advice.
We have not used Quickstart but, based on the success stories, may give it a go. We’ve learned a lot about WORKetc by building our system ourselves (with much able assistance & hand holding of the stellar WORKetc support team) and have grown our use of the system a step at a time. It’s probably a good idea to take a close look at what we are doing through the Quickstart program.
